Request/Approval Process:
For all 12 month employees using SchoolFront for attendance:
All absence requests/notifications must be submitted electronically through SchoolFront. The submission of a digital ‘Absence Request/Notification Form’ automatically notifies the employee’s supervisor and the ‘Absence Request/Notification Form’ gets sent electronically to the supervisor for approval/notification. This process also creates a record of the absence.
For absences that are foreseeable, (i.e. personal business, vacation, medical appointments, etc.) employees should submit an 'Absence Request/Notification Form' in SchoolFront in advance. For absences that are unforeseeable, (i.e. illness or family illness) employees must submit an ‘Absence Request/Notification Form’ in SchoolFront as soon as possible.
Employees who fail to submit an ‘Absence Request Form’ in SchoolFront will be marked absent at the building/department level on the day of the absence and will receive a notification informing them of this. In these instances, the employee must submit a ‘Change of Absence Request Form’ immediately upon their return to work.
In the case where an employee needs an extended leave of absence, including but not limited to a leave that may qualify under the Family and Medical Leave Act (FMLA), please contact Human Resources. Medical documentation may be required for such leaves and such documentation should only be managed by Human Resources, as it is confidential in nature.
It is the employee’s responsibility to follow proper procedures for reporting and requesting all absences. Failure to follow proper procedure may result in incorrect deduction from the employee’s leave time, the docking of pay, or counseling. Employees may use available leave time as provided by his or her collective bargaining agreement. Employees should refer to the appropriate collective bargaining agreement for detailed information regarding permissible leave time.
For all other 10-month employees:
Until the SchoolFront attendance process is rolled out to all staff, the reporting process for 10-month employees is as follows:
Teachers: Teachers must report all absences through the BOCES SubService. Personal leave may not be taken the day before or after a holiday unless a request, specifying the reason, is made and approved.
Paraprofessionals/Teaching Assistants/Security Staff: Staff must report their absences by calling the school/supervisor at the phone line designated for reporting absences. Paraprofessionals/Teaching Assistants/Security Staff are required to sign in using the attendance sheets in the main office of their school. Failure to follow proper procedure, including failure to sign-in and sign-out on time may result in incorrect deduction from the employee’s leave time, the docking of pay, or counseling. Personal leave may not be taken the day before or after a holiday unless a request, specifying the reason, is made and approved.
