OPERATIONS AND MANAGEMENT

The Facilities Department is committed to providing an equitable, safe, and healthy learning environment that remains free from facilities related distractions, at all times.

Professional Conduct:

Members of the Facilities department are expected to always conduct themselves in a professional manner. If you have concerns with an O&M employee, please call the facilities office and ask to speak with a supervisor.

 Professional Development:

The Facilities department conducts regular training for staff on Bloodborne Pathogens, Asbestos Awareness, Sexual Harassment and Lockout Tagout. Aside from the regular and mandated trainings we also provide training that is more specific to the work outlined in various job descriptions. Custodial staff and maintenance staff are expected to attend the trainings provided for them on days when there are no students in the building. Please be aware on those days our staff is not available to fill special requests including all set up and break downs relating to the building’s PDs.

Work Requests:

Please use the work order system when requesting repairs in your building. In the event of an emergency, we ask that you contact the head custodian in your building and inform them first. If they need assistance, the custodian will reach out to us, but in most cases, they are able to temporarily neutralize a dangerous situation until a more permanent solution can take place. Please note: The work order system is in place to assist us with prioritizing your requests. Work orders are prioritized in the following order:

1. Safety.

2. Repairs that directly affect student learning

3. Aesthetic repairs or changes to finishes. Color changes.

All request not falling in the top two categories will be completed as time allows. Non safety related work orders will not be completed ahead of work orders directly affecting the health and safety of students and staff.

Surplus Items:

Before purchasing new furniture or equipment, please have a plan in place for the items you are replacing. It is not the responsibility of the facilities department to locate storage for furniture and equipment. The facilities department does not complete the entire surplus process of furniture and equipment. 

Please use the following procedure when purchasing new equipment or furniture:

List each piece you would like removed from your building.

Supply as many pictures as possible to accurately show the condition of each piece.

List the condition of the items. Good, Fair, Poor

Forward your list to the Purchasing Agent. Once the purchasing agent has authorized the disposal, our employees will remove the items from your building. District employees cannot dispose furniture/equipment without prior approval form the Board of Education. We recommend the surplus procedure begin early enough to be completed before the new items arrive. Doing so will ensure you have a smooth transition from older to new items.

Room Numbers

Rooms numbers should never be altered. The districts blueprints, energy management system and life safety plans, depend on room number accuracy.

Custodial and Maintenance Overtime

Daily duties are to be completed during normal working hours. However, there are times when working additional hours is unavoidable. All requests for additional work shall go to the Facilities office for review.

Custodial Closets

Custodial closets should never be converted into alternative spaces, unless there is a replacement space that is agreed upon with the Facilities office.

Room Temperature:

The district entered into an energy performance contract in 2022. A company was selected to perform specific work related to the conservation of energy that will have a substantial cost savings over time. The savings progress is monitoring closely by the EPC company we selected. By gaining board approval, the district agreed to comply completely with the energy savings steps outlines within the agreement. The classroom heating temperature is set at 68, as per the agreement.

Painting:

Painting of any interior or exterior portions of the building are only to be completed by workers of the facilities department. Please place a work order for painting projects that will assume to 5 days or less to complete. If you have questions relating to project hours, please contact a Director of Facilities, or the Chief of Operations. Large project request, such as multiple classrooms and hallways, will require more planning to complete. Facilities does not have the capability to paint entire interiors of buildings. Projects of large magnitude will be deferred to a capital project.

Please follow the chain of command below when requesting support for non-life-threatening matters in your building.

  1. Contact the Custodian assigned to your building.

  1. Contact one of the Director of Facilities’ working in the Facilities office.

  2. Contact the Department Secretary

  3. Contact the Chief of Operations Officer.
